Spanish on top, English below — projected alongside our existing slides, so every person in the room can follow the message: those learning the language of faith, those who can't hear well, and the occasional visitor who only speaks English. The IdeaLa Idea

During the message, the pastor's words are captured live, transcribed in Spanish, translated into English, and shown as captions on the projection screen — layered over our existing ProPresenter slides. The Spanish service stays exactly the Spanish service. We're simply adding a quiet, dignified second line of text so that English-speaking spouses, visitors, and family members can follow along in real time. STT = speech-to-text, software that turns spoken words into written text. The total delay from "pastor speaks" to "caption appears on screen" is typically about one second — close enough that the captions feel like they're moving with the pastor, not chasing him. There are three honest ways to make this happen. Each is described below with the same structure: how it works, how polished it feels, what it costs, and what could go wrong on a Sunday morning. Usage tracking matters. Caption hours come in 4-hour increments, so light months waste a bit and heavy months may need an extra increment. We'll watch actual hours during the pilot and right-size the plan.
Internet outage = no captions. Same as Path B — cloud-based STT requires a connection. Mitigation: a "Subtítulos pausados / Captions paused" fallback slide. Dependencia de proveedor. It listens to the soundboard audio, sends it to Microsoft Azure for live Spanish transcription and English translation, and pushes the captions into ProPresenter using the same Web Fill feature CaptionKit uses. This recommendation is shaped by what's actually true about our church: two services every Sunday with about 1–1.5 hours of message in each (roughly 8–12 hours of live translation per month), English-speaking visitors are occasional rather than constant, and the bigger weekly benefit is accessibility — for those who can't hear well, and for Spanish-speaking attendees who'd value the visual reinforcement. We initially considered building this ourselves (Path B). At our real usage, the two paths cost roughly the same in money (~$290–$340/year for CaptionKit vs ~$240–$360/year for DIY), so the deciding factor is volunteer time. CaptionKit is built specifically for ProPresenter, used by hundreds of churches with our exact needs (Spanish ministry, deaf accessibility), and removes 2–3 weekends of build work plus indefinite maintenance. Before approving anything, leadership deserves a plain accounting of what could go wrong. Below are the real risks, what we'd do about each, and what risk remains even after our mitigation. This is the most important risk. AI translation can occasionally get a theological term wrong — for example, choosing "ghost" instead of "Spirit," or misrendering a less common biblical name or place. CaptionKit is already used by churches with strong Spanish ministries (testimonial: "single-handedly moved our Spanish-speaking ministry to the next level"), but no system is perfect. We mitigate by (1) using the free 4-hour trial to test against real sermon material before paying anything, and (2) doing a 5-minute weekly spot-check of the previous service's transcript so issues are caught and reported quickly. We design for this: (1) a one-button kill switch hides the caption layer instantly so the slide returns to normal — the congregation never sees an error message, (2) the AV operator's checklist includes a 30-second restart procedure, and (3) if it can't be recovered, captions simply stay off for the rest of the service. Some attendees may end up reading instead of listening. Mitigation: caption styling is intentionally restrained — smaller font, lower position on the screen, neutral color — so the slides and the spoken word stay primary. The pastor's microphone audio is streamed to CaptionKit's cloud service for transcription and translation. It is not stored long-term, but it does briefly leave our church network in transit. Mitigation: we only enable captions during the message itself — not during prayer, pastoral counseling moments, or anything sensitive shared from the platform. CaptionKit is run by a small team (originally built by one person for his own church). That carries real risk: prices could change, or the company could discontinue the service. Our protection: the subscription is monthly, not annual, so we're never locked in. If they shut down or become unaffordable, we migrate to Path B (in-house build) using the same architecture — the audio interface, soundboard tap, and trained AV team all transfer directly. If at any point this doesn't serve the congregation well, we cancel the subscription and turn it off. There is no contract and no irreversible changes to existing equipment.
